How a company should handle drivers and their licenses?

First and foremost - an up-to-date drivers license should be kept on file for each driver. A driver's license should be kept on file for each driver because it is the most up-to-date and accurate record of the driver's qualifications. The driver's license contains information on the driver's age, experience, and driving record. Whenever adding a new driver to your company make sure you do a background check on him, whether there are any previous fines for unsafe driving practices.

In case you run a company which is working some specific area, like logistics, waste management or any other truck/machinery, it makes sense to double-check the driving skills of the driver in person for the first few days, just to make sure the skills math the qualifications in the drivers license.

Drivers should be required to submit proof of a valid license on a yearly basis so that the company can keep track of who is and is not licensed to drive. This helps to ensure that only those who are qualified to drive are on the road. There are various situations when drivers are losing license (driving under influence, overspeeding, etc.) and not informing employer about the fact that their license is no longer valid. Performing regular checks about license validity for your drivers eliminates this risk.

When talking about regular actions for your drivers - it's also worth noting that at some point it makes sense to provide a regular training for your drivers, be it a defensive driving course or some other course that improves safety - each and every additional training will eventually help.

The company should have a policy in place for reporting and investigating accidents. This is important in order to identify any potential safety hazards and to ensure that employees are aware of the correct procedures for reporting accidents.

The company should have a no-tolerance policy for driving under influence (alcohol, drugs). This means that any employee who is caught drinking and driving will be immediately fired. This policy will help to ensure that all employees are safe and that the company is not held liable for any accidents that may occur.

Drivers should be prohibited from using cell phones while operating a company vehicle. There are a few exceptions to this rule, such as if the driver is using a hands-free device or if they are making an emergency call. But, in general, using a cell phone while driving is dangerous and should be avoided.

Drivers should be required to sign a contract agreeing to adhere to all safety policies. Contracts are legally binding documents that can be enforced in a court of law. By having drivers sign a contract agreeing to adhere to all safety policies, the company can take legal action against drivers who violate safety policies. This can deter drivers from violating safety policies and help to create a safer work environment.

Although there are a lot of organisational means to improve the safety of your fleet, obviously you can also look into technical means - installing GPS tracking devices which can provide insight into driver driving habits and provide information when and where unsafe driving like harsh braking, harsh acceleration, cornering was happening might give you additional detail about your drivers, which you can discuss later on with the drivers.

For bigger companies it is necessary to have a safety committee in place to regularly review safety procedures and make recommendations for improvements. The safety committee should be chaired by a senior executive and should meet at least quarterly.

About

I've been working in the fleet management sector for several years now and I've seen various fleets from different angles - very well managed fleets, where processes are in order, policies are in place and fleets where you can barely understand what does the fleet consist of. I decided to lay out these experiences in an easy to read site, where I will look into all of these aspects of fleet management and how technologies can help in fleet management. You can consider this as my attempt and life goal of writing a book. It will take a while, but be sure to check back often.
